01Overview
This Refund Policy explains how refunds work for Odysseic Subscriptions and Per-Booking Fees billed by Odysseic Ventures Pte. Ltd. (UEN 202604236H). It forms part of, and should be read together with, our Terms of Service.
Quick answer. First paid month or year? Cancel within 14 days and we'll refund the Subscription fee in full. After that, Subscription fees are non-refundable but you can downgrade to the free Starter plan any time. Per-Booking Fees follow the underlying booking — they're reversed when you refund the diver through the Service.
02What this policy covers
This policy covers two charges Odysseic bills directly:
- Subscription fees for paid plans (Pro, Enterprise, Custom), billed monthly or yearly via Stripe.
- Per-Booking Fees — the percentage Odysseic charges on Bookings recorded in the Service.
It does not cover refunds owed by a dive operator to a diver. Those are governed by the operator's own cancellation policy and are processed through the operator's connected Payment Provider (see Section 8).
0314-day money-back guarantee
If you upgrade from the free Starter plan to a paid plan (Pro, Enterprise) for the first time, you may cancel within 14 calendar days of the initial paid charge and request a full refund of that first Subscription fee.
Conditions:
- The guarantee applies only to the first paid Subscription term billed to your operator account. It does not apply to any subsequent upgrade, downgrade-then-upgrade, plan change, or renewal.
- You must request the refund by emailing billing@odysseic.com from the email address on file, with your account / business name, within the 14-day window.
- Per-Booking Fees accrued during the 14-day window remain payable. They cover services already delivered (bookings already taken, confirmation emails already sent).
- Refunds are made to the original payment method via Stripe and generally arrive within 5–10 business days, depending on your card issuer.
On refund, your account is downgraded to the Starter plan (or, at your option, closed). Customer Data remains available for export per our Terms of Service.
04Subscription renewals
Subscription renewals — monthly or yearly — are non-refundable. You can cancel a renewal at any time before the renewal date through the in-product billing page; cancellation takes effect at the end of the then-current term, and you retain access to paid features until then.
If you cancel after a renewal has been charged, the Subscription will continue until the end of that paid term and will not be pro-rated or refunded. To avoid renewal charges, cancel before the renewal date.
If we materially decrease the features of your plan during a term and you object, contact us at billing@odysseic.com. We may offer a pro-rated refund of the affected portion at our discretion.
05Per-booking fees
Per-Booking Fees are non-refundable on their own: the service we charge for (recording the booking, communicating it, enforcing your policies, providing reporting) has already been delivered.
However, they follow the underlying booking:
- Full refund to the diver, processed through the Service: the corresponding Per-Booking Fee is reversed on the next monthly invoice.
- Partial refund to the diver, processed through the Service: the Per-Booking Fee is reversed in proportion.
- Refund processed outside the Service (e.g., cash, bank transfer, refund issued directly in Stripe / Xendit / Doku without using Odysseic's refund tool): we have no record of the refund, so the Per-Booking Fee remains payable.
- Chargeback or dispute: see Section 9.
Per-Booking Fees on Bookings marked as walk-in, paid offline, or external agent are payable in full once the booking is recorded in the Service, because the Service is still providing the calendar, comms, and reporting around it.
06Downgrade to Starter
You can downgrade to the free Starter plan from any paid plan at any time through the in-product billing page. Downgrades take effect at the end of the then-current paid term — you keep paid-tier features until then. The Starter plan remains free of charge but is subject to the Per-Booking Fee at the Starter rate published at odysseic.com/#pricing.
07How to cancel
You can cancel a Subscription in two ways:
- Self-service: in the operator dashboard, go to Settings → Billing → Cancel subscription. You will see the cancellation date and any final invoice before confirming.
- By email: for Enterprise / Custom plans, or if the self-service flow is unavailable, email billing@odysseic.com from the email address on file with your account or business name. We will confirm cancellation within 2 business days.
Cancellation only ends the Subscription. Your account and Customer Data remain available — you simply revert to the Starter plan unless you explicitly request account closure.
08Refunds to divers
Odysseic is software, not a tour operator. We do not hold diver payments and do not refund divers directly. Diver refunds are owed by the dive operator under the operator's own cancellation policy and are processed through the operator's connected Payment Provider (Stripe, Xendit, Doku).
The Service provides operators with tools to issue full or partial refunds to divers in a single workflow that updates the booking record and triggers the Per-Booking Fee reversal where applicable.
Divers seeking a refund must contact the dive operator they booked with. Contact details for the operator are included in every booking confirmation email.
09Chargebacks & disputes
If you dispute an Odysseic charge with your card issuer (chargeback) rather than contacting us first, we may suspend your account until the dispute is resolved and may pass on any chargeback fees imposed by our payment processor. Please email billing@odysseic.com first — most billing questions are resolved within a day.
For diver-initiated chargebacks against an operator: the chargeback is a matter between the diver, the operator, and the operator's connected Payment Provider. Where Odysseic has recorded the booking, we will reverse the corresponding Per-Booking Fee once the chargeback is finalised in the operator's favour or against the operator with a full refund of the booking amount.
10Refund processing
Approved refunds are made via Stripe to the original payment method. Funds typically appear within 5–10 business days, but the exact timing is controlled by the card issuer / bank. We will email a refund confirmation when the refund is issued.
Refunds and Per-Booking Fee reversals are settled in the original currency of the charge. We do not compensate for FX-rate changes between charge and refund.
11Service disruption
Refunds or service credits for downtime, if any, are governed by the service-level commitments (where applicable) in the relevant Enterprise/Custom agreement. Outside such an agreement, the Service is provided on an "as is" basis as set out in our Terms of Service, and unplanned downtime does not entitle you to a refund. We may, at our discretion, offer credits for prolonged or material disruptions.
12Changes to this policy
We may update this Refund Policy from time to time. Material changes take effect on at least 30 days' notice and apply to charges incurred after the effective date. The "Last updated" date at the top of this page always reflects the current version.
